4. Data Collection on This Website

Early Access Form

Via the early access form on this website, you can register for early access to Arena Director. In doing so, we process the following information: name, email address, and organization (required) as well as — if you choose to provide them — the type of your venue, the technology you currently use, and your biggest challenge. This information is stored to process your request and for any follow-up questions. We do not pass on this data to third parties without your consent.

When you submit the form, we additionally store your IP address and your browser identifier (user agent) to prevent abuse and automated spam submissions. Your request is also delivered to us as an internal notification by email via Amazon SES. The form data is stored in the database of our cloud provider (Amazon Web Services) within the European Union.

The processing of your form data is based on Art. 6 para. 1 lit. b GDPR for the implementation of pre-contractual measures, or on your consent (Art. 6 para. 1 lit. a GDPR). Storing the IP address and user agent to prevent abuse is based on our legitimate interest in operating the form securely (Art. 6 para. 1 lit. f GDPR).

The data you submit will remain with us until you request deletion, revoke your consent to storage, or the purpose for data storage no longer applies (e.g., after your request has been processed). Mandatory statutory provisions — in particular retention periods — remain unaffected.

Inquiry by Email

Cookies

This website uses exactly one strictly necessary cookie named “ad_lang”. It stores the language you have selected so that the site is displayed in the correct language on your next visit. The cookie is stored for about one year (SameSite=Lax) and contains no personal identifiers. The legal basis is our legitimate interest in a functional, user-friendly website (Art. 6 para. 1 lit. f GDPR) or § 25 para. 2 TTDSG (strictly necessary cookie); no consent is required for this.

We do not use any analytics, tracking, or marketing cookies, and we do not embed any third-party web analytics services.

5. Arena Director Software

Local Data Processing

The Arena Director software is installed on your own devices and processes all project and media data exclusively locally. No transfer of your project data, media files, or other work data to us or third parties takes place.

User Account and Login

Access to the alpha version of Arena Director requires a user account. Login is handled via the central authentication service of SEMSIS Solutions. In this process, we process your email address and authentication data to manage your account and secure access. The legal basis is Art. 6 para. 1 lit. b GDPR (contract performance).

License Server

To activate and regularly validate your software license, the software communicates with our license server. The following data is transmitted:

  • License key
  • Anonymized device ID to identify the licensed device
  • Software version
  • Timestamp of the license check

This data is used exclusively for license validation and is not analyzed for other purposes. Processing is carried out on the basis of Art. 6 para. 1 lit. b GDPR (contract fulfillment).

License data is stored for the duration of the contractual relationship and deleted after contract termination in accordance with statutory retention periods.

Software Updates

The software may automatically check for available updates. Only the currently installed software version is transmitted to our update server. No personal data is transferred.

6. Plugins and Tools

Google Fonts (Local Hosting)

This site uses so-called Google Fonts for the uniform display of fonts, which are provided by Google. The Google Fonts are installed locally. A connection to Google servers does not take place.
